How do I use the event request option of the calendar?

You may allow users who do not have access to add events, to submit event requests on a calendar. These requests may then be approved or rejected by any administrator of that calendar.

To enable event requests on a calendar, navigate to calendar administration, then click on the Edit button for the calendar. This will display it's configuration. Click on the Event Requests tab to configure event requests.



Note that we've chosen to be notified of pending event requests. This will send an e-mail to the address you've specified when an event request is submitted.

The Mode setting allows us to choose which users may submit event requests. In View Only mode, users designated as View Only may submit event requests, while Normal users may add events directly. In Normal mode, View Only users may not submit event requests, while Normal users may. When the calendar owner or a calendar admin submits an event, it is always directly added.


Any user that views the calendar whom does not have access to add events to it will still see the '+' indicating that they are able to add events.





Clicking on the add event symbol will begin the event request. For starters, the message we entered in the event request configuration is displayed.



You may enter any special constraints for adding events, or a simple welcome message. When the user clicks the Next button, they are presented with a New Event form just as if they were adding a new event.





After entering in the event's information and clicking on Next, the event requestor may choose to enter additional notes for this request. These are not the same as event notes. The notes entered here will only be seen by an admin who views this request.



Requestors may also choose to be notified of the status once their event is approved or rejected. As you'll see in a subsequent screenshot, e-mail notification to the requestor is ultimately up to the admin who acts on this request.



Clicking on Save presents the requestor with the message we configured when enabling event requests on this calendar.



You may use HTML in the message to display links or alter how the message is displayed.



Since we had chosen to recieve e-mail notification of pending event requests, the event request shows up in our inbox.



Here we may choose to Accept or Reject the event request. If not already logged in to Thyme, the browser window that is displayed when clicking on either of the links will prompt you to log in, then navigate directly to the event request accept or reject screen.

Event requests may also be viewed in the event request secion of Thyme. You may navigate there by clicking on the event requests link at Thyme's footer.



Here you will see all pending event requests for calendars you have administrative privileges on. Clicking on the title will present you with a window similar to the e-mail displayed in the previous screen shot. You may accept or reject the pending requests.



The result when clicking on Accept or Reject will differ based on whether or not the person who submitted the event request had requested to be notified of the status of their request. In our example, we had requested to recieve notification, so clicking on Accept, we are presented with a screen where we may enter a message to the requestor.



Here you may enter a message that will be sent to the requestor once you accept or reject the request. For instance, you may choose to inform the requestor why their request was denied. You may also choose not to send a response at all.



In our example we chose to send a response and this appears in their e-mail as examplified below.





The event request has been approved and now appears in our calendar.



Event requests are an easy way to manage additions to a calendar with out giving a user or the guest account full access to a calendar. Note that accounts must have view only access to a calendar in order to allow them to submit event requests.
